This policy explains what personal data Familease collects, why we collect it, who can access it, and your rights under Singapore's Personal Data Protection Act (PDPA). We've written it in plain English on purpose โ if anything is unclear, please ask us.
1. Who we are
Familease is a Singapore-based family coordination service. We help parents with babysitter bookings, enrichment research, travel planning, holiday camps, and related family logistics. We operate under Singapore law and comply with the Personal Data Protection Act 2012 (as amended).
Data Protection Officer (DPO): As required under the PDPA, Familease has appointed a DPO. For any data-related queries, contact us at the details in Section 10.
2. What personal data we collect
We only collect data that is necessary to deliver our services. This includes:
- Contact details โ your name, WhatsApp number, and email address
- Family details โ children's names, ages, schools, and year levels
- Household details โ your area, helper arrangements, and schedule preferences
- Preferences and interests โ enrichment interests, travel preferences, party preferences, and communication style
- Health and medical information โ allergies, medical conditions, and any other health-related information you choose to share to help us deliver safe and appropriate services
- Financial preferences โ budget ranges for services (not payment card details)
- Task history โ records of tasks we have completed for your family
Children's data: Some information we collect relates to children under 18. We collect this data solely to deliver services requested by the parent or guardian who has consented on the child's behalf. We do not use children's data for any other purpose.
3. Why we collect your data โ and what we use it for
We collect and use your personal data only for the following purposes:
- Delivering your requested tasks โ your coordinator uses your family profile to handle every task in a way that reflects your preferences and your children's needs
- Improving service quality โ task history helps us understand what's working and improve over time
- Communicating with you โ sending task updates, weekly digests, reminders, and occasional service updates via WhatsApp or email
- Maintaining your account โ managing your subscription, processing payments, and keeping records for our legitimate business purposes
We will never use your data for marketing purposes without your separate, explicit consent. We do not sell, rent, or trade your personal data to any third party.
4. Who has access to your data
Access to your personal data is strictly limited:
- Your assigned coordinator โ they access your family profile through our secure workspace (Notion) to handle your tasks. They are bound by a data handling agreement that prohibits any use of your data outside of their role as your coordinator.
- Familease management โ the founder and any operational staff, for quality oversight and service delivery
- No one else โ we do not share your data with vendors, enrichment providers, babysitter agencies, or any other third party without your explicit instruction on a task-by-task basis
When we contact a vendor on your behalf โ for example, enquiring about a swimming class or booking a babysitter โ we share only the minimum information necessary (typically the child's age and relevant preferences). We do not share your full family profile with any external party.
5. How we store and protect your data
- Family profiles are stored in Notion, a cloud-based workspace with access controls. Only your assigned coordinator and Familease management can view your profile.
- Task records are stored in a private tracking spreadsheet accessible only to Familease management.
- Email data collected via our onboarding form is transmitted via EmailJS and stored temporarily in accordance with their privacy policy.
- Payment data is processed by HitPay, our third-party payment provider, which is licensed by the Monetary Authority of Singapore and PCI DSS compliant. When you pay by card or set up a recurring plan, your card details are entered directly into HitPay's secure checkout and are handled and stored by HitPay in accordance with their privacy policy โ Familease does not receive or store your full card details.
- All coordinators are required to handle client data on secure, password-protected devices and must not store client data on personal devices beyond the duration of an active task.
We take reasonable technical and organisational measures to protect your personal data from unauthorised access, use, or disclosure. In the event of a data breach, we will notify the Personal Data Protection Commission (PDPC) and affected individuals in accordance with the PDPA's mandatory breach notification requirements.
6. How long we keep your data
- Active clients: We retain your family profile and task history for the duration of your subscription plus 30 days after cancellation.
- After cancellation: Your personal data is deleted or anonymised within 30 days of your subscription ending, unless we are required by law to retain it for longer.
- Consent records: We retain records of your consent to data collection for as long as required to demonstrate compliance with the PDPA.
7. Your rights under the PDPA
As a Singapore resident, you have the following rights:
- Right of access โ you can request a copy of the personal data we hold about your family at any time
- Right of correction โ you can ask us to correct any inaccurate or incomplete data
- Right to withdraw consent โ you can withdraw your consent to data collection at any time. Please note that withdrawal may affect our ability to deliver services to you.
- Right to deletion โ you can request that we delete your personal data. We will do so within 30 days, subject to any legal retention requirements.
To exercise any of these rights, contact us using the details in Section 10. We will respond within 30 days.
8. Cookies and tracking
Our onboarding form is a standalone HTML file and does not use cookies or any tracking technology. If we launch a website in future, we will update this policy accordingly.
9. Changes to this policy
We may update this Privacy Policy from time to time. We will notify you of any material changes via WhatsApp or email and will update the "Last updated" date at the top of this page. Continued use of our services after notification constitutes acceptance of the updated policy.
